Our Booking Terms & Conditions

Introduction

• These Terms and Conditions govern the relationship between Utukufu Travels and Adventures (“the Company”) and the client (“the Client”). By booking a safari with us, the Client agrees to be bound by these terms.

Booking Terms and Conditions

• All bookings must be made in writing or via our official booking platform i.e WhatsApp number, Booking form available in our website or direct email to our email address.
• All emails and phone numbers listed on our website are official booking platforms for Utukufu Travels and Adventures
• A deposit of 20% is required to confirm a booking. The remaining 80% balance must be paid 15 – 30 days before the departure date.
• Cash payment of the balance is accepted if you have requested to clear by cash. In this case full payment shall be done in US Dollars only. USD dollars notes should be manufactured not earlier than the year 2009. Older notes are not accepted in Tanzania Utukufu Travels and Adventures does not take them either.
• Bookings made less than 15 days before departure require full payment at the time of booking.
• The Client must provide accurate personal details, including passport information where applicable.
• Prices quoted are per person and based on double occupancy unless otherwise stated.

Booking Confirmation

• A booking is considered confirmed only when the deposit has been received, and a confirmation email or invoice has been issued by the Company.
• The Client is responsible for reviewing the confirmation details and notifying the Company of any errors within 7 days.
• Failure to complete the full payment within the stipulated timeframe may result in cancellation of the booking.

Cancellation Policy

• Cancellations must be made in writing via email.

Cancellation fees apply as follows:

• 100% of the deposited amount if canceled 65+ days before the departure date.
• 50% of the total cost if canceled 50 – 65 days before the departure date.
• No refund for cancellations made less than 0 – 50 days before departure.
• The Company reserves the right to cancel a safari due to unforeseen circumstances, in which case a full refund or alternative booking will be offered.

Refund Policy

• Refunds will be processed within 7 business days after receiving the cancellation request.
• Refunds exclude any non-refundable deposits, bank transfer fees, or administrative costs.
• No refunds will be given for no show off, unused services, including late arrivals or early departures.

Changes and Amendments

• The Client may request amendments to their booking, subject to availability and possible additional charges.
• The Company reserves the right to make minor changes to itineraries due to weather, safety, or operational reasons without prior notice.

Travel Insurance

• The Client is required to obtain comprehensive travel insurance covering medical expenses, trip cancellations, lost luggage, and personal liability.
• The Company is not responsible for any losses due to the Client’s failure to obtain appropriate travel insurance.

Liability and Responsibilities

• The Company shall not be liable for injury, illness, loss, or damage to property occurring during the safari unless caused by negligence.
• The Client agrees to comply with local laws, park regulations, and guides’ instructions at all times.
• The Company is not responsible for delays or changes due to circumstances beyond its control (e.g., weather, government restrictions, natural disasters, delayed flights or cancelled flights).

Governing Law

• These Terms and Conditions shall be governed and interpreted according to the laws of Tanzania.
• Any disputes shall be settled through arbitration in Tanzania.

By booking with Utukufu Travels and Adventures, the Client acknowledges having read, understood, and agreed to these Terms and Conditions.
